How do I find and delete old and no longer used selections from SuperOffice CRM?
Updated on 20 Oct 2025I want to clean up the data in our SuperOffice CRM. I would like to find all selections that were not viewed for the last 5 years and delete them. How do I do it?
Please follow the steps below to find all selections that were not viewed for the last year or more and delete them:
- Click on the Find (1) button in the top toolbar to open the Find screen. Click on Find Selection (2) to start your search.

- In the Criteria tab, click on the button +Add criterion to include a new field and select the Last used field as criteria from the drop-down list.

- Set the option Previous (1) in the Last used row, and choose the timeframe. In this example, we are searching for all selections that were not viewed in the last 5 years. Click Find (2) to get the list of these selections.

- At the bottom of the screen, click on the Task (1) button and then select the Bulk delete (2) option in the Delete section.

- Click Yes to delete the selections from your SuperOffice. Note! Data included in the selections that you are going to delete is not going to be removed from the database.

Note!
- Bulk Update cannot be undone. That's why we recommend creating a database backup before making any large data updates. If your SuperOffice is installed Onsite, please refer to this FAQ that explains how to do it. If you use SuperOffice Online, you do not have to do anything extra, as backups are created automatically.
- To be able to see and delete selections, your user has to have the functional and data access rights that allow these actions. Please check this FAQ regarding the access right setup in SuperOffice.
