How do I get an overview of all contacts without any follow-ups (appointments, tasks, phone calls) in SuperOffice CRM?

This is the way you can make a list of contacts without follow-ups:  

  1. Create a selection of all contacts with follow-ups
     
  2. Create the interest “Have follow-ups¨ for contacts 
     
  3. Use a bulk update to update all relevant contacts
     
  4. Create a contact selection that lists all contacts in SuperOffice CRM  
     
  5. Create a contact selection that lists only contacts with an interest  
     
  6. Create a combined selection that would list only the contacts without follow-ups


You must have the combined selection feature to get an overview of the contacts without assigned documents and/or without an e-mail.

Note! Only our Sales and Service Premium and Marketing plans have the combined selections feature available. Please contact your SuperOffice contact if you need this feature. 




Create a selection of all contacts with follow-ups

To do so, please follow the steps below: 

  1. Click on the Find (1) button and then Find Follow-ups (2). 


     
  2. Next, in the Criteria (1) field click the arrow, which will unfold the list of the possible criteria for you to use. Choose Type (1) in the list box to the right of Type, click the arrow and select Is one of (2). In the last field on the line, select all the follow-up types (3) that you want to include in this search.


     
  3. Then you can select the time period that should be considered in the selection. For example, all follow-ups registered for the last 5 years including this year (1). Click Find (2) to list all the follow-ups.


     
  4. Once you have a list of documents click on the Save as selection button and create a selection.
     
  5. You have created a selection of follow-ups; however, it also has a Company/contact tab, also known as “Shadow selection” of the companies and contacts associated with these follow-ups. Configure the columns in a way that you could see at least Company´s name Contact´s name and e-mail address. This will allow you to choose the correct contacts to select later. 

Create the interest “Have follow-ups¨ for contacts 

Please read this article to learn how to create an interest for contacts. In this example, we will use a contact interest called “Have follow-ups”.

Use a bulk update to update all relevant contacts

To do so, please follow the steps below: 

  1. To select all the contacts, use the Shift keyboard for it. First click Show All, then select the first contact in the list and then scroll down until you reach the last and while keeping the Shift key pressed, click on it. Then, right-click on selected contacts and click on Bulk update. You can also click on Task button and select Bulk update from there too.


     
  2. Make sure you are in the Contact (1) tab, then select Interest – add (2) and choose the interest you created in the previous step and click Update (3). It will select this interest on all the contacts you have selected previously.

Create a contact selection that lists only contacts with the interest 

To do so, please follow the steps below:

  1. Click on the Find (1) button and then Find Contact (2). 
     
  2. Next, choose Contact interest in the list box to the right of Type, click the arrow and select Is equal to the interest you created earlier (1). Click Find (2) and then follow the steps to create a selection.

 

Create a combined selection that would list only the contacts without follow-ups

To do so, please follow the steps below: 

  1. In one of the selections you created earlier, click on the Task (1) button and then Combine selection with... (2).


     
  2. The new combine selection interface will be populated. Give it a meaningful name (1). As selection 1, choose All contacts (2), as selection 2, choose All companies with with follow-ups (3). As a combination type, select Only in Selection 1 (4) option. Click on the Save (5) button to finish.
