How do I send a consent e-mail to many SuperOffice contacts all at once?
Updated on 19 Aug 2025On May 25, 2018, a new European privacy regulation called the General Data Protection Regulation (GDPR) came into effect. Based on this regulation, the person has to give us his/her direct consent, that we can store his/her personal information. How do we collect consent from multiple people all at once?

This scenario is not recommended or advised, as you should not send mass mailings to people (contacts) you don't have explicit consent to do so. However, it is technically possible.
To collect consent from multiple people, you can send out a dedicated SuperOffice mailing. To do so, follow the steps below:
- Make sure that the user who is sending the mailing has a role with the functional right "Can override consent in mailings."
- Create a new mailing message. Check this user guide to see the step-by-step process.
a. You can choose a sender you wish.
b. You can use a standard privacy confirmation text, or you can create your own version. A standard Privacy confirmation e-mail text can be found in Settings and Maintenance, click on the Lists (1) button in the Navigator panel, then select E-mail template (2) from the drop-down list, and find a template called ¨Confirmation - Contact added¨ (3) and click Edit (4) once you open it.

c. Insert an e-marketing subscription management link in your mailing message. This FAQ explains how to do it.
- Create a selection with criteria that would allow you to retrieve all contacts without consent. If you do have many contacts that you wish to send this e-mail to, you may want to segment them and send out multiple mailings. For example, different versions for prospects, clients, partners, and suppliers.
