How does the Diary in SuperOffice CRM work, and how can I view and manage different types of activities?
Updated on 29 Jul 2025In the SuperOffice Diary screen, follow-ups are displayed in two areas — the Calendar and the Activities section. Depending on the type and status of the activity, it may appear in one or both views. How does the Diary work, and how can I find and manage different types of activities?
The SuperOffice Diary consists of two parts:
- The Calendar – a visual overview of time-specific activities.
- The Activity (To-do) list – a list of tasks and follow-ups not scheduled for a specific time.
These components help you manage both scheduled and open tasks effectively.
Calendar view
The Calendar displays follow-ups with a set start and end time, such as:
- Meetings.
- Follow-ups that are scheduled.
These activities appear in the Day, Week, Month, or View (1) tabs depending on your selection.

When you create a new Meeting or Follow-up (2) with time values (3), it appears immediately in the calendar (4).



Note! If a follow-up is overdue and not marked as completed, it will also be shown in the Activities section (To-do list) as a reminder.
Activity (To-do) list
The Activities section tab shows all open and non-time-bound activities, such as:
- To-dos (Tasks) – follow-ups without set start time (1).
- Documents – not marked as completed (2).

- Overdue meetings or follow-ups.
You can choose whether the Activity list appears:
- Below the calendar (split view).

- As a separate tab in the Diary.

This setting can be adjusted in your Preferences.

Why don’t all activities appear in the Diary view?
Activities behave differently depending on their type.
Appointments and Meetings with a defined start and end time are always shown in the Diary view. However, if the scheduled time has passed and the activity is not marked as completed, it will also appear in the Activity List to remind you that it still needs attention.
To-dos are not time-bound, and therefore do not appear in the Diary view. Instead, they are shown in the Activity List, making it easy to keep track of open and pending tasks.
Why do some activities not show up in the Activity List?
The Activity List displays open and actionable items. Completed activities or those filtered out by your current view settings may not appear.
To make sure you see all relevant activities:
- Check your filter settings in the Activity list.

- Completed activities will remain visible in the view until the end of the day unless the Remove Completed Activities setting is activated in your preferences.

- The Activity List will only show activities in the near future. This can be changed using the Show Days Ahead setting.

Drag and drop functionality
You can drag and drop follow-ups between the Activity list and the Calendar to assign a time. This works:
- In the split view.

- In the separate Diary tab (use the side panel for dragging items into a time slot).
