How do I set up notifications for follow-ups in SuperOffice CRM?

I want to be reminded about the follow-ups that I have created in my SuperOffice-diary. How do I set up the reminders?

To be notified (get reminders) about upcoming follow-up activities registered in your SuperOffice CRM diary you should:

  • Have SuperOffice WebTools is installed and configured. This FAQ explains how to do it.
     
  • Set up a reminder on the follow-up when you create a follow-up.
     

Please follow the steps below to create a follow-up with a reminder:

  1. Start by creating a follow-up. You can either click on New and then Meeting (1) or Follow-up (2) or the + Add (3) button on the Activities tab.




     
  2. Then click on the Alarm field and select how many minutes before the appointment the reminder should appear. You can also choose a custom alarm by clicking on Other - the maximum value allowed is 1439 minutes.

Please be aware that:

1. You can configure SuperOffice CRM to automatically set an alarm for follow-ups with your preferred timing. This can be done in Personal Preferences under the Diary section (1):

  • Use the Alarm on follow-up option (2) to choose whether alarms should be added to follow-ups by default. Select Yes to enable alarms, or No to disable them.
     
  • Set the Alarm default time (3) to define how many minutes before the follow-up the alarm should appear.
     
  • Use the Silent after setting (4) to specify how long the alarm should sound before it goes silent.
     
  • Alternatively, you can configure the alarm time in the WebTools Preferences dialog by checking the box next to "Show alarm for all appointments ... minutes before" and entering the number of minutes.

2. When the time for the reminder arrives, an alarm dialog opens showing key details such as the company, date, time, type, priority, and location related to the follow-up.The dialog includes the following options:

  • OK (1) – Dismisses the reminder

  • Show (2) – Opens the full follow-up activity in SuperOffice CRM for more details or editing.

  • Remind me in 5 minutes (3) – Snoozes the alarm and reminds you again in 5 minutes.

This allows you to quickly decide whether to act on the appointment now, review more information, or be reminded later.

3. For alarms (reminders) to work in a different time zone than your default time, the time zone setting must be turned on.
