What are the most common support questions about sending and receiving external e-mail invitations in SuperOffice CRM?

Here are the answers to the most common support questions, which SuperOffice users might have about the incoming and outgoing e-mail invitations. 

  1. What do I need to send and receive e-mail invitations from external people in SuperOffice CRM?

    The feature is available automatically for all SuperOffice Online users. SuperOffice Onsite users have to get their solution upgraded to version  8.5 R11 or newer.

     
  2. What do I need to know before starting to work with e-mail invitations from external people?
     
    • If everybody in the company uses SuperOffice Diary as the primary calendar:
       
      • Make sure that everybody has SuperOffice Inbox configured.
         
      • Do not make any changes in your other calendars, because these changes will not be reflected in SuperOffice Diary. 
         
    • If not everybody in the company uses SuperOffice diary as the primary calendar:
       
      • Please consider using the Synchronizer app, which will make sure that the SuperOffice Diary and Outlook or Google calendars are synchronized. The invitations created and changed in SuperOffice CRM will be visible in the user's Outlook and the invitations created in Outlook will be visible in SuperOffice Diary. The same applies to the invitations received in SuperOffice Inbox and Outlook.
         
      • If you don't use Syncronizer app, the invitations created, received and changed in different calendars are not going to be visible in SuperOffice Diary. We recommend using one calendar to manage appointments and make sure that all colleagues know, which calendar is the main one. 
  3. How do I get the Synchronizer app?

    If you use SuperOffice Online, simply sign up for the app in SuperOffice App store. If you use SuperOffice Onsite, please get in touch with your SuperOffice contact. 

  4. What do we need to know about receiving e-mail invitations from external people who are not SuperOffice CRM users?

    • When you receive an invitation from a contact who's e-mail address is registered in SuperOffice CRM, the invite system will automatically create a tentative appointment in SuperOffice Diary.

    • When you receive a recurring invitation from a contact who's e-mail address is registered in SuperOffice CRM, the invite system will create tentative appointments in SuperOffice Diary only when you click "Accept all" invitations.

    • When you receive an invitation from a contact who's e-mail address is not registered in SuperOffice CRM, the invite system will not create a tentative appointment in SuperOffice Diary.

  5. Are there any preferences that allow me to set up how SuperOffice CRM will manage the incoming and outgoing e-mail invitations?

    Yes, in the MailLink settings in Outlook, tab Invitations you can enable or disable the import of (tentative) incoming invitations to SuperOffice. This feature is automatically disabled when Synchronizer for SuperOffice is in use. 

           




     

    In Settings and Maintenance in the Preferences section you will find two preferences that control how SuperOffice CRM handles incoming and outgoing e-mail invitations for external people. These preferences are:

    In the section E-mail preference Include request for reply in outgoing e-mail invitations. This preference controls if recipients of e-mail invitations are asked to send responses back to SuperOffice Inbox when accepting/declining invitations.



    In section E-mail preference Manage incoming invitations preference. This preference controls how much of incoming e-mail invitation functionality is enabled. By default, preference is set to Enabled all, but you can choose from these options:
  • Enable all: automatically creates tentative and updates existing appointments when invitation/replies are received.
     
  • Disable creation of tentative appointments from invitations: creates appointments on Accept. Does not create tentative appointments.
     
  • Disable creation, updates and replies to invitations: stop all automatic creation and updating of appointments.
     
  • Disable all: display invitations in the web inbox as a standard e-mail with disabled accept/decline buttons.
